Office Administrator/Bookkeeper

Position Summary

      To provide the church with a fully-functioning office. To efficiently and effectively facilitate the ministry of the pastor and the congregation. Also, provide the church with an accurate reporting of its financial position as directed by the Finance Committee and Session. This is a full-time position of approximately 30-35 hours. The Office Administrator reports to the Pastor as Head of Staff.


Duties and Responsibilities

*     Assist and support the pastoral staff and keep an organized office

*     Maintain the church calendar

*     Answer and route telephone calls

*     Maintain membership records and files

*     Maintain and update Rock Prairie's social media

*     Prepare reports of revenues: pledges, loose offering, special appeals etc.

*     Present a monthly financial report to Session via the Finance Committee

*     Meet monthly with the Finance Committee to review receipts and expenditures

*     Assist the Finance Committee in the annual audit of the church's financial records

*     Prepare Annual reports

*     Prepare checks and vouchers approved by Session or appropriate elders

*     Prepare quarterly giving statements for church members

*     Prepare pledge cards and offering envelopes for stewardship drive

*     Order office supplies

*     Work with pianist and/or special music persons regarding copyright requirements

*     Open, sort and distribute mail

*     Make copies and labels for the monthly Prairie Press newsletter

*     Distribute emails for "Prairie Weekly", prayer requests, all-church and special emails

*     Prepare agendas and reports for Session meetings

*     Prepare bulletins each Sunday as well as for special services, funerals and special events

*     Work with the technology team

*     Communicate with the custodians

*     Coordinate communications for baptisms and prepare supplies

*     Assist funeral personnel and families

*     All other duties as assigned


Qualifications, Skills, Knowledge and Abilities

*     Commitment to Christian faith and life

*     Willingness to work within the PCUSA denomination

*     Must be congenial and courteous in dealing with a variety of people

*     Knowledge of accounting principles

*     Proficient with accounting software

*     Proficient computer and word processing skills including Microsoft Office Suite

*     Ability to understand and prepare financial statements

*     Confidentiality is essential

*     Experience in an office setting

*     Experience in bookkeeping practices

*     Experience with general office equipment


Compensation

     The Office Administrator/Bookkeeper shall be paid bi-weekly at an hourly rate to be set by the Personnel Committee and in consultation with the Session. The salary will be reviewed annually by the Personnel Committee and presented to the congregation in the annual budget. 


Evaluation

     The Personnel Committee will conduct an initial 90-day performance review and annually thereafter.
